Allocate Inventory to Projects

Setup Options

The CID Setup Option, PROJHELDFOR, automatically creates a Held For (rule is HOLDER) record for any new project that has the Allocate Inventory box checked. NOTE: If you are going to allocate inventory to projects, it is HIGHLY RECOMMENDED that this setup option is turned on.

The CID Setup Option, PROJALLOCINV, automatically checks the Allocate Inventory box on the Project Control screen for new projects. NOTE: If you are going to allocate inventory to projects, it is HIGHLY RECOMMENDED that this setup option is turned on.

Program Logic

Item GL Accounts

The OHF tab of the Item Master contains the GL accounts (Inventory Control, PO Clearing, Inventory Clearing, WIP) for each Owner/Warehouse/Held For record. Since the Project will be a new Held For record, it will also need GL accounts. A rule named PROJHELDFOR tells the program which Held For record to use when copying the accounts. If the rule is blank then it will use the first Held For record it finds for the same warehouse as listed on the Project Control screen. NOTE: The accounts listed on the Warehouse screen will be used if the GL accounts on the OHF tab are blank.

Purchase Order

If a Project is selected on a line item of the PO, the Held For field will automatically change to the Project number so that the inventory is allocated to the project.

Sales Order

If a Project is selected on the Header of a SO, the Held For field will automatically change to the Project number. If a Sales Order is created from a Project (using the SO button) the Held For field will automatically default to the Project number.

Completed/Inactive Projects

The Held For record for the project will become inactive when the project is completed and the Allocate Inventory box is unchecked. The Held For record on the OHF tab will disappear from the list after this occurs. NOTE: Make sure that you have transferred or used all inventory linked to the Project before making the Held For inactive.

Viewing Inventory Held For/Allocated to a Project

Inventory that is held for a project can be viewed by running the Inventory On Hand report (Reports >> Item Control >> Inventory on Hand). Type the Project number into the Held For field and run the report. Other inventory reports that can be run in this manner include: Inventory Journal Report, Inventory Serial/Lot Report, Inventory Receipts Report and Inventory Transfers Report.
