SOTYPE: Enter in a Sales Order Type Code from the SOTYPE rule. This designates which SO Type will trigger the auto-email.

Offset: Enter the time offset from when the order is shipped/invoiced to when the email is sent. This can be done using w (week), d (day), h (hour) or m (min). For example, 1d will offset the email delivery by 1 day. Putting a number with no unit will default to minutes.

Email Address in the FROM Line: The email being sent will go to the email address associated with the Sold To customer in the Sales Order. It will be sent from the email address of the Salesperson record in the SO as long as the SP has an email address that is within their company's domain. For example, an SP working at ABIS with a gmail address wouldn't have the email be sent from their account. Instead, it would come from notes@abiscorp.com. However, if the SP had an abiscorp.com address in their record (e.g., jr@abiscorp.com) that email address would be placed in the FROM line of the email sent.

Signature Line: It is recommended that the SP have a User in Adjutant attribute assigned to their contact record, so that the signature line fields (e.g., USERINFO.fullname, USERINFO.company) can be used. You can also overwrite what email address shows up in the FROM line using the FromAddress field in the email template.

Function
The Issue Credit for Invoice function in Adjutant allows users to void an invoice that hasn't received payment. This can be used to correct errors with an invoice while still remaining GAAP compliant. That is, the existing invoice cannot be directly edited and must be voided. The system creates a separate invoice to apply the credit to the existing invoice, unships the order and reopens the sales order. Corrections can be made to the sales order, and then the order can be reshipped, at which point a new invoice will be generated.

----

Steps
STEP 1: TRANSACTION >> ACCOUNTS RECEIVABLE >> AR INVOICE MASTER

STEP 2: Enter the invoice number you wish to void in the Invoice Number field.

STEP 3: Click the Issue Credit for Invoice button and verify you want to issue a credit for the invoice.

STEP 4: Click Yes when asked "Issue Credit and Unship/Bill?"

STEP 5: Enter the desired Memo Date and click Approve.

STEP 6: Click Yes to reopen the sales order.

STEP 7: Click YES to apply the credit memo to the original invoice.

Once the invoice is credited, the Credit Issued notice will appear on that invoice, and a header note will automatically be added with the reference number for the invoice applying the credit.
Daily Interest Rate
Interest is calculated on a daily basis according to the annual rate (converted to daily rate) and the daily balance of each invoice.

To calculate the daily interest rate (R), the program divides the interest rate (I) by the number of days in the year (D).

R = I / D

For example, an annual rate of 18% is calculated as a .049315% daily rate (R = 18/365).

Remember to enter the ANNUAL RATE on the Bill To screen.

----

Finance Charge Calculation
The Daily Rate is used to calculate the interest on each outstanding invoice.

For our example, we will assume that today is 09/01/13 and that the Annual Rate is 18%. We will also assume that no prior payments have been made on the invoices.

The following invoices will be included in the finance charge:

Invoice Number !! Invoice Date !! Due Date !! Balance
1001 || 06/25/13 || 07/25/13 || $4200
1052 || 06/30/13 || 07/30/13 || $1250
1185 || 07/12/13 || 08/11/13 || $500

If calculating interest from the Invoice Date, then the charges are calculated as:

(annual rate ÷ 365) * (today - invoice date) * balance.

For Invoice 1001, interest is calculated as (.18 ÷ 365) * 68 * 4200 = 140.84

For Invoice 1052, interest is calculated as (.18 ÷ 365) * 65 * 1250 = 38.34

For Invoice 1185, interest is calculated as (.18 ÷ 365) * 51 * 500 = 12.58

----

If calculating interest from the Due Date, then the charges are calculated as:

(annual rate ÷ 365) * (today - due date) * balance.

For Invoice 1001, interest is calculated as (.18 ÷ 365) * 38 * 4200 = 78.71

For Invoice 1052, interest is calculated as (.18 ÷ 365) * 33 * 1250 = 20.34

For Invoice 1185, interest is calculated as (.18 ÷ 365) * 21 * 500 = 5.18

Download a spreadsheet of these calculations. (link)

----

Things to Consider
The program takes into account when an invoice was paid and what interest is due accordingly.

For example, an invoice that was issued 07/01/13 (due 07/31/13) and paid in full on 08/15/13 will be included in the Interest Charge calculation on 09/01/13 since it was paid after the due date.

Also, if an invoice is partially paid, the program will calculate interest on a daily basis based on the daily balance of the invoice.

For example, an invoice of $1000 is issued on 07/01/13 (due 07/31/13) and has a $500 payment applied on 07/15/13. If calculating from invoice date, then finance charges issued on 08/01/13 will calculate interest based on the $1000 balance for the first 15 days and $500 for the last 15 days.

Fields/Filters
Interest is usually not charged on interest. On some occasions banks may roll interest on a note and thus charge interest on the interest, but this is not advisable and is only done in certain situations that demand that it be done.

Interest is calculated on a daily basis according to the annual rate (converted to daily rate) and the daily balance of each invoice.

To calculate the daily interest rate (R), the program divides the interest rate (I) by the number of days in the year (D).

R = I / D

For example, an annual rate of 18% is calculated as a .049315% daily rate (R = 18/365).

Remember to enter the ANNUAL RATE on the Bill To screen.
A customer's credit limit is set on the Bill To screen.

The Bill To screen also allows you to place a customer on Credit Hold.

You cannot enter new sales orders for customers on credit hold.

To get to the Bill To screen, open the Organization screen, select the customer, and click the BILLTO attribute.

----

Default Credit Limit
The default credit limit amount for new customers can be set in the CID Maintenance screen.

----

Credit Limit Calculation
A customer's credit limit is calculated by adding the current AR balance to the current Open Sales Order amount.

For example, a customer with a $10,000 credit limit will exceed that amount if you enter a sales order for $1000 and they already have a $9100 balance in AR.

The Past Due Days Limit creates the same restrictions as exceeding a credit limit. If an invoice has remain unpaid for a period greater than the "Past Due Days Limit," then the customer is said to have exceeded their credit limit.

Credit Limits are calculated by the BILLTO, not the SOLDTO. This is done under the belief that the organization required to remit payment for the invoice (the Bill To) is where credit should be maintained.

----

Credit Limit Restrictions
By default, a new Sales Order with an Order Amount greater than $0 cannot be saved if the customer has exceeded their credit limit.

There is a security right (EXCEEDCREDITLIMIT) that will allow a user to exceed the credit limit and enter new orders for customers over their limit.

The Do Not Exceed checkbox on the Bill To screen overrides the EXCEEDCREDITLIMIT security right. It will prevent anyone from entering a new sales order for a customer that is over their credit limit and has the Do Not Exceed box checked.

----

Credit Hold Restrictions
The Credit Hold checkbox prevents anyone from entering a new sales order for that customer, regardless of their credit limit and current AR balance. You can enter quotes for the customer, but they cannot be converted into Sales Orders until the credit hold is removed.

----

Credit Hold Exceptions
Clicking the Credit Limit hyperlink, users can allow selected orders and quotes to be sent through the order process while still keeping the customer on credit hold.

Users can also use the Credit Hold Processing screen to always allow certain processes to move forward when a customer is on credit hold. For instance if a customer has an order in production and they are placed on credit hold, the order can be allowed to finish out and be shipped while still locking down the customer to new orders.
You cannot enter new sales orders for customers on credit hold.

To get to the Bill To screen, open the Organization screen, select the customer, and click the BILLTO attribute.

Default Credit Limit
The default credit limit amount for new customers can be set in the CID Maintenance CHCL3.png screen.
