View source for Unbilled PO Receipts Reconciliation

The Unbilled PO Receipts report is used to track PO receipt lines that have not yet been linked to an AP Invoice. When entering in a payable tied to a purchase order, every PO line on the AP Invoice must be linked to a receipt line.  Once the full quantity of the received line has been linked on the AP Invoice, it drops off of the Unbilled PO Receipts report. 

There are a few ways where the Unbilled PO Receipts my not balance to the PO Clearing account on the General Ledger. Common causes may be:

*Not selecting the PO lines when creating an AP Invoice. This will strand the PO Receipt line on the Unbilled PO Receipt report and Debit the PO Clearing. 
*Manual entries or Manually selecting the PO Clearing GL account when creating a Payable. The system will automatically choose the PO Clearing account when a PO is selected. This should not be changed, or it will result in the Unbilled PO Receipt lines falling off the report and the GL account not reflecting the change. The PO Clearing account should never be manually chosen as an offset account and should only be used as the system has automated during PO Receipts and AP Invoice creation

==Troubleshooting the Unbilled PO Receipts Report==

The best first step to reconciling the PO Clearing account is to make sure that the Unbilled PO Receipts report is correct. 

#Running in drill down mode will allow quick access to key screens in the system. The report should be run open to capture all the receipts that have not been billed.  
#Next, each PO needs to be reviewed to see if there has been an invoice for that order. The only way to know if the 
#If there are PO’s or lines that have been Invoiced but are still on the report, the Clear Unbilled PO Receipts should be used to clear them off the report. 
#Once the Unbilled PO Receipts report is correct, an adjusting entry can be made to reconcile. From that point, the only entries to the PO Clearing account should be automated during PO receipts and AP Invoices linked to the PO Line.
