Task Alerts tab

General Description

The Alerts tab on the Task Entry Screen is used to add/edit/view the alerts sent for a specific task.

This same setup is also shown on the Standard Task screen.

To add a new person for alerts:

1. Click Edit

2. Enter the person's name in the field and click Add

3. Select the task events they need to be notified of and click Save

Events

Assign: When a resource (any resource) is assigned to the task.

Assign (Resource): When you are assigned to the task.

Billed: When the task is billed through the Approve/Edit Billing screen (only applicable to Time Billing).

Complete: When the task is marked complete.

Create: When the task is created.

Create (Reminder): Same as above, but you can set a Time Offset. For example, you can receive an alert 1 hour after the task is created.

Create-to-Assign: This event is only to be used with a Time Offset. It is the time between when the task is created to when it is assigned to a resource.

Due Date: When the task's Due Date occurs. This event will only be processed if the task in incomplete at the date/time of the due date.

Due Date Changed: When the task's Due Date is changed.

Due Date Pending: Allows you to set a Time Offset according to the task's Due Date. For example, you can receive an alert 1 hour before the due date occurs. This event will only be processed if the task in incomplete at the date/time of the due date.

Edited: When the task is edited from the Task Entry screen.

Finish Date > Due Date: If the scheduled finish date (ending date/time of the last assignment) is greater than the task's due date.

First Assignment: When the first resource assignment is made.

Pending Task Alert: Allows you to set a Time Offset to alert you of your upcoming task. For example, you can receive an alert 15 minutes before the task is scheduled to start.

Respond By: When the tasks Respond By date/time passes and the task has not been punched into.

Task Status Change: When the task's status changes, as seen on the Status tab of the Task Entry screen. The task's status can also be changed on the web via the Task Status page. A task's status will automatically update to Complete when it is marked complete.

Methods

NotifyEmail: To send an email. This is the only method that can utilize Email Templates. This is also the default and most used method to send alerts (highly recommended).

Email: To send an email with an Excel spreadsheet attachment (rarely used now).

Appointment: To create an appointment in Outlook

Text Message: To send a text message

Task: To create a task in Outlook

Fax: To send a fax to the fax

Google Calendar: To make an appointment in your Google Calendar. This requires the contact to have their Google username and password entered in the Google Login Information attribute.

Template Name



Templates can be set up in the Email Templates screen.

It is highly recommended that you use email templates for the alerts you send, as they are typically much more descriptive and contain better formatting than the stock emails that Adjutant will send by default.

Time Offset

Certain Events allow you to set a time offset. The format for entering a time offset is as follows:

Enter the number and then the week/day/hour/minute abbreviation after it, with no spaces.

w = weeks

d = days

h = hours

m = minutes

To enter a time offset before the event, use a negative number.

For example to be alerted 1 hour before the event, enter -1h.

Proj Whse

If the alerts you are setting up are dependent upon where the tasks' project is occuring, then select a warehouse here.

For example, you can set up two people with the same alert, but different warehouses. The system will send the alert depending on which warehouse/location the project is linked to.
