
CHANGE ORDER MANAGEMENT
The Project Change Orders functionality in Adjutant lets you create and track project additions and changes with complete control and with as much detail as you want to record. Change Orders are a unique sales order type that are designed to work exclusively with projects. They can be programmed to require managerial approval before moving into production, or they can be sent straight to the shop floor to keep your production schedule on track.
Adjutant provides the control you need for documenting and managing complex project revisions with a clear Change Order form to present to the customer for authorization. It provides a clean audit trail of the request and gives your customers the peace of mind that their projects are being handled professionally.

PROGRESS BILLING
Adjutant’s Billing module gives you a simple, efficient, and reliable way to gain control over your billing process. Whether you invoice on a completed contract or percentage of completion, the Billing function works in conjunction with our Job Cost module to handle all billing requirements with robust traceability.
The billing period is user-definable and can be any length of time. After being prepared, invoices are retained for reference purposes and available through drill-down capabilities on almost all reports and screens. Payment details are stored with each invoice record, making research quick and simple. Plus, a variety of standard invoicing and billing system reports help you easily organize and analyze the standing of your current invoicing operations.

DOCUMENT VAULT
Adjutant’s Document Vault screen includes file management and basic image markup tools for adding custom notes or highlights to images and PDF files. These tools make it easy to move files directly into the Document Vault and even share files to another record’s vault. The markup tools offer a convenient way to highlight documents so that key details are not overlooked.
The Approval Tracking function allows you to set up approval processes for most documents in Adjutant. A “Pending Approvals” icon in the system’s header shows a badge indicator of how many approvals are waiting for processing. All source documents within the Document Vault have drill-down capabilities, meaning managers have all the information they need to make accurate approvals in a timely manner with the click of a button.

FIELD SERVICE

All labor and materials associated with tasks in Adjutant’s Task Master are tracked to allow for inventory and cost analysis. Tasks can be easily managed through a powerful Task Grid feature, custom KPIs, and extensive reporting options. Integration with our Purchase Order Management module streamlines supply chain management by automatically monitoring inventory levels for scheduled tasks and alerting you whenever new material needs to be purchased.
The system determines potential suppliers of items, automatically requests bids based on generated quotes, provides instant access to vendor quote history to identify any savings opportunities, and allows for purchase order generation with the click of a button. Extensive reporting capabilities help you maintain margins and update item costs in real-time.

REMOTE TIME ENTRY
Adjutant allows you to track time the way you want. Many various input forms allow for Weekly Timesheets, Daily Timesheets, Work Order Time Entry, or live punch-in/punch-out time tracking.
Workers can utilize their desktop, Internet Web Browser, or Internet enabled cell phone or tablet to enter their time from any location. Adjutant tracks both task-, project-, or administration-related time - all of which can be easily exported to your payroll software. You can even gather data on the geographic location of employees’ time entries right from the system.

SUBCONTRACTOR PORTAL
Adjutant’s Web Portal can be customized to be as expansive or as restricted as you deem necessary, allowing subcontractors visibility into specified system data in order to complete their projects. Offer controlled, secure access to real-time information while ensuring that customers receive the same quality of service no matter who’s on the job.
Adjutant’s Auto Alert feature automates the notification of critical events as they happen, enabling your team to meet deadlines and service level agreements by keeping team members informed with valuable, up-to-date information. Many Auto Alert processes also include the associated documents, giving your people all the materials they need to make informed decisions in the field and maintain project timelines.

TIME & MATERIAL
Adjutant’s Time and Material is a simplified solution for entering and tracking labor, equipment, and materials on a task-by-task basis. Integration with Item Control, Contract Management, and Client Billing assures correct pricing and accurate inventory tracking. Task Solution Codes can be set up and tied to tasks to control billing reflexes, default accounting and reporting options, and automatically enter standardized wording on each record of work performed.
Serialized items posted to a service order are logged as assets, automatically tracked under their new location, and tied to every service order logged for that location. Parts issued on a working service order or standard task are tied to T&M and only require a quantity-used update. Labor entries are directly tied to employee timesheets and intelligent controls prevent data entry errors.
